Clarity & trust

Privacy Policy

Understand what you share, how business inquiries are handled, and how to contact us about your information.

Last updated:

Introduction

Practice Revenue Ops (“we,” “our,” or “us”) respects your privacy. This policy explains information handling for our public website, contact forms, practice audit requests, and related business communications.

Information handled during a client engagement may also be governed by a service agreement, applicable data protection terms, and, where required, a Business Associate Agreement. This website policy does not replace those arrangements.

Information We Collect

We collect the information you voluntarily submit when requesting an audit, contacting us, or communicating with our team. Depending on the form, this may include:

  • Name, email address, and optional phone number.
  • Practice or organization name, specialty, service interest, and practice size.
  • Your message, communication permission, and submission reference.
  • Service assessment selections you choose to include in an audit request.

The service assessment does not submit your selections until you choose to send an inquiry. Do not include patient records, medical details, passwords, payment card information, or other sensitive information in public forms.

How We Use Your Information

We use inquiry information to review your request, respond to your questions, discuss relevant services, coordinate a potential engagement, and maintain appropriate business records.

We may also use information as needed to prevent abuse, resolve delivery issues, protect the website, and meet applicable legal obligations. The current inquiry consent does not subscribe you to marketing communications.

Website & Technical Information

Website hosting and delivery providers may process technical information such as connection details, browser information, access times, and service logs to operate and protect the site.

The inquiry endpoint uses limited request information for abuse prevention and delivery troubleshooting. The current application does not implement advertising trackers or an analytics subscription. If additional tracking tools are introduced, this policy and any applicable preference controls should be updated.

HIPAA & Protected Health Information

The public website and inquiry forms are intended for general business information, not the collection of protected health information (PHI).

Where client services involve PHI and a business associate relationship, the applicable HIPAA obligations, permitted uses, access requirements, safeguards, and Business Associate Agreement must be addressed before PHI is shared. Discuss a suitable authorized process with our team rather than submitting patient information through the website.

Data Security

The website’s inquiry delivery component is designed to validate submissions and use encrypted SMTP transport when properly configured. Access controls, hosting security, mailbox protection, and retention procedures also depend on the systems used to operate the business.

No method of transmission or storage is completely secure. Please limit public inquiries to necessary business information and contact us before sharing sensitive material. This policy does not certify a particular security standard or guarantee that every business system uses identical controls.

Third-Party Sharing

We do not sell inquiry information or provide it to third parties for their independent marketing. Information may be processed by service providers needed to host the website, deliver inquiries, operate business communications, or provide agreed services.

These providers may receive the information needed for their role. We may also disclose information when required by law or necessary to protect legal rights and the security of the website. Third-party websites linked from this site have their own privacy practices.

Data Retention

Inquiry information may be retained in business correspondence and service-provider systems for responding to requests, maintaining engagement records, resolving issues, and meeting applicable legal obligations. Retention depends on the purpose and the systems involved. Contact us to discuss deletion of a particular inquiry; legal requirements or legitimate recordkeeping needs may limit immediate removal.

Your Rights & Choices

You may contact us to request access to, correction of, or deletion of personal information you provided, or to ask us to stop optional communications. The rights available and any exceptions depend on applicable law and the information involved.

We may need to verify your identity before acting on a request. Include your inquiry reference if available, but do not resend sensitive information. Questions about patient records handled for a healthcare provider should be directed to that provider through its authorized process.

Changes to This Policy

We may update this policy as our website, services, or information handling practices change. The last updated date identifies the current version. Review it periodically and contact us with any questions.
